The Set It Once paper guide working on a laptop

Client briefs.
Ready for your chosen AI.

For agencies and independent specialists already managing client tasks in Asana. Choose the instructions and supported files needed for a draft, content revision or another task.

Review the prepared message and result before using them for your client. Website changes require a separate authorized website connection.

Spend your allowance on the work.

Selected context: send the tasks and attachments you need, instead of pasting an entire project into every conversation.

Read files in parts: the connector supports reading file text in sections, so your AI can request the relevant part.

Choose an appropriate model: routine work can start with a lighter model. Split simple tasks from complex work so every task does not inherit the heaviest recommendation.

Your actual allowance also depends on the model, output, tools, conversation length and your provider’s plan. We do not promise a fixed percentage of savings.

Stop starting from scratch

Choose your task and the files it needs. The prepared message tells your AI where to read the details. You do not have to gather and paste them one by one.

Give your AI just what it needs

Working on one task? Leave the rest of the project out. Less unnecessary text may help your allowance last longer - and reduce input costs if you pay for usage.

See what you have already sent

Prepared tasks stay in your history. See what you have sent and what is still waiting. Choose a draft or publishing instructions for a supported task.

Choose the AI for your task.

Claude Web and Claude Desktop: work in your preferred Claude client.

ChatGPT Web: work in your browser.

ChatGPT Desktop: copy the prepared instructions into your desktop client. A local Codex agent requires its own supported execution connection.

Model guidance: choose a model suited to the task instead of always starting with the most demanding option. Model availability and allowances depend on your plan. Lower total usage costs are not guaranteed.

Connect once.
Choose the next task.

  1. Sign in to Set It Once. Open your customer workspace in your browser.
  2. Connect your own Asana account. Approve read access and choose your workspace. You do not use our Asana account or feed.
  3. Choose your AI. Claude in the browser or Desktop, ChatGPT in the browser, or ChatGPT Desktop. Connect your own account for your chosen workflow.
  4. Select a task and review the prepared message. Prepare the details and files your chosen AI needs. You control what you share and when the work starts.

Use the website without installing our helper: Claude Web/Desktop and ChatGPT Web/Desktop use the hosted workspace. Initial account connections require your approval.

Optional Codex Local: this separate destination requires our helper on your Windows computer, Node.js LTS, Python 3.11 or newer, and sign-in with your own ChatGPT account. You approve the model before a new local task starts. It currently returns text answers and drafts; attachments and website actions are not available in this mode.

Know what is included.

Your workspace in the browser: task review, creation-date filters, preparation and history of prepared tasks.

Supported files: DOCX, TXT, Markdown and CSV; PNG, JPEG and WebP images. DOCX conversion preserves supported structure such as headings, tables, bold, italic and links. It does not reproduce every Word layout or font.

File limits: up to 20 MB per supported file; images up to 5 MB. Complex documents have additional processing limits. PDF and XLSX reading are not supported by the current cloud connector.

Your existing accounts: use your own Asana and Claude, ChatGPT or Codex account. Capabilities depend on your chosen client, plan and permissions. Their subscriptions are separate and are not included in Set It Once.

Your questions,
answered.

Can Claude publish the finished work?

Yes, for supported tasks when Claude also has an authorized connection to the destination website, permission to publish, and your explicit publishing instructions. The Asana connector supplies the task and files; the website connector performs the website actions. The current customer workflow starts after you send the message in Claude. Choose draft/review or publishing instructions for each new batch. Actual website changes still require a separately authorized website connection.

Can Claude use the images attached to my task?

Yes. Claude can read the original PNG, JPEG and WebP files you select from your task attachments. You do not need to ask it to recreate those images. The current online reader does not itself upload them to a website’s media library. That needs a compatible website tool and permission. Reading an image still uses Claude’s image-processing allowance, so this is not a token-free transfer. Images embedded inside Word files are not extracted by the current reader.

Do I need the Website product?

No. Asana to AI can prepare tasks without WordPress. If a task requires website changes, Claude also needs an authorized connection to that website. Our Website product is a separate purchase.

Can I get more usage from the same AI plan?

It can, when you pay for usage: sending less unnecessary text can reduce input-token costs. On a fixed monthly subscription, the price stays the same; smaller inputs may help your included allowance last longer. Your total usage also depends on Claude’s replies, the model, conversation length and tool requests. We have not measured a fixed saving and do not promise a percentage.

Does it automatically shorten all my conversations?

No. You select the task and files; Claude can request the supported text in sections. The connector does not compress your whole conversation or guarantee that Claude will never read the same information again.

Who controls access?

You connect your own accounts and can disconnect them from your account settings. The connector is designed to restrict reads to your prepared batches.

An alternative to Bardeen for a focused Asana-to-AI workflow

Bardeen offers broader Asana and OpenAI automations. Choose Asana to AI when your priority is reviewing selected task context, reducing unnecessary input, and handing work to your preferred Claude or ChatGPT client.

Model switching: accepting a recommendation does not change the model in every AI application. When your selected client does not support automatic switching, we show the model to choose manually before you send the task.

Privacy & cookie notice

Privacy & cookies

Updated 5 October 2026. This notice covers the public Set It Once marketing website and its enquiry form.

Who is responsible?

Martin Iliev operates Set It Once and is responsible for the personal data collected through this website. For privacy questions or to exercise your rights, email miliev@setitonce.com or use the contact form. You do not need to provide a website address for a privacy request.

What we collect and why

When you send an enquiry, we receive your name, email address, optional website address and message. We use these to respond and take steps towards a possible service agreement at your request (GDPR Article 6(1)(b)). Security and abuse prevention rely on our legitimate interest in protecting the website (Article 6(1)(f)). The form temporarily uses a keyed hash of your IP address to limit repeated submissions for 60 seconds. Hosting infrastructure processes connection information such as IP addresses and requested URLs to deliver and protect the site.

There is no marketing subscription, sale of enquiry data or automated decision-making about you. Do not send passwords, API keys or sensitive client information.

Who can access the information?

Enquiries are stored in the private WordPress administration area and accessed by authorised administrators. Namecheap provides our website and email hosting and processes data to operate these services. Email addressed to miliev@setitonce.com is also forwarded to a Gmail account operated by Google so Martin can receive and handle correspondence. Their privacy notices explain their processing: Namecheap and Google. External links such as LinkedIn load only when you follow them; those websites have their own privacy notices.

International processing

Namecheap and Google may process information outside your country, including in the United States. Namecheap describes the contractual safeguards for covered services in its Data Processing Addendum. Google describes processing locations and safeguards in its Privacy Policy. Contact us if you need details about the processing of your enquiry.

How long we keep information

We retain enquiries while handling the request and necessary follow-up. We review enquiries after six months and remove closed enquiries that are no longer needed. Records required for an active service, a legal obligation or a legal claim may be retained for that purpose. This review covers WordPress records and related email copies; it is a manual review, not automatic deletion. Hosting logs and backups have separate retention arrangements with the provider. You can ask us for information about your particular record or request deletion.

Your rights

You may request access, correction, erasure, restriction, objection and portability where applicable. You may withdraw optional browser-storage consent through Privacy settings without affecting earlier lawful processing. We normally respond to rights requests within one month; legal exceptions may apply. You may complain to your local supervisory authority, including the Bulgarian Commission for Personal Data Protection.

Cookies and browser storage

Google Analytics 4 is optional and loads only after your explicit consent. It measures page visits and basic engagement, using browser/device information and an online identifier. Google processes the network address to provide the service; GA4 does not log or store individual IP addresses. We do not enable advertising features, Google Signals or automatic form tracking. Page URLs and referrers sent by this website exclude query strings and fragments; form contents are not sent. No third-party geolocation service is used. Fonts and images are hosted on this website. Necessary WordPress authentication and security cookies may be used when you sign in. These are separate from optional analytics and currency memory.

LocalStorage is browser storage rather than a cookie; the same preference controls cover it. Automatic currency suggestion uses your browser time zone locally. It is approximate and is not sent to a geolocation provider. If browser storage is unavailable, your choices apply only to the current page.

Online payment processing is not active on this page. Payment-provider information and purchase terms will be added before checkout is enabled.
